Admissions marketing and enquiry systems for education

Education runs on an intake calendar. An enquiry that goes cold in March is worth nothing in July, so admissions is a follow-up problem long before it is an advertising problem.

The short answer

Why do admission enquiries not convert?

Because the gap between an enquiry and an admission is filled by counsellor follow-up, and in most institutions that follow-up is manual, uneven and unrecorded. The advertising delivers the enquiry; the process loses it.

The second reason is timing. Education demand is seasonal and compressed — the window in which a parent or student is deciding is short, and once the intake closes, an unconverted enquiry has no value at all until the next cycle.

So the institutions that do well are not the ones spending most. They are the ones that answer fastest and follow up consistently through the window.

The problem

Three failures we see repeatedly.

Enquiry volume without enquiry quality. Campaigns optimised for form fills deliver enquiries from people outside the catchment, outside the fee range, or looking for a different course entirely. Counsellors spend the intake window calling them.

Follow-up is manual and uneven. A parent enquires, gets a call, asks for time to think, and is never contacted again — because the follow-up lived in one counsellor's notebook and the intake was busy.

Nobody can attribute an admission. Enquiries come from ads, walk-ins, referrals, portals and the website, and by admission time the source has been lost, so next year's budget is set on guesswork.

What we run

The demand side.

Meta Ads for admissions

Campaigns by course, catchment and intake window, structured so budget consolidates during the short period that matters.

Google Ads on course and location search

Parents and students searching a course, a locality or your institution name are the closest to deciding.

Admissions creative

Campus, faculty, outcomes and placements — the things that actually answer a parent's question, produced honestly.

Intake-cycle campaign planning

Spend planned around the admissions calendar rather than spread evenly across a year in which most months do not matter.

Retargeting through the decision window

Staying present across the weeks a family spends deciding, rather than paying once for the first click.

Reporting to admissions, not enquiries

Performance read against admissions and source, so next year's budget is set on evidence.

What we build

Everything after the click.

Course and programme landing pages

A page per course with fees, duration, eligibility and outcomes answered plainly — the questions every enquiry asks anyway.

Enquiry capture from every source

Website, Meta lead ads, WhatsApp, phone and walk-in into one list with the source recorded automatically.

Counsellor CRM

A pipeline built for admissions — enquiry, counselled, campus visit, application, fee paid — with ownership and reminders.

Automated follow-up

Sequences through the decision window, so a family that asked for time is contacted again without depending on memory.

Campus visit scheduling

Booking, reminders and outcomes recorded against the enquiry, since the visit is usually the real conversion event.

Application and document flow

Forms, uploads and status tracking, so the administrative stage does not lose applicants who had already decided.

How we work

How the system gets built.

01

Research

We map how enquiries or orders actually arrive today, and where they are lost.

02

Build the catch

Pages, capture and tracking first. More traffic into a leaking system just increases the leak.

03

Launch and test

Campaigns live with correct conversion tracking and a deliberate testing plan.

04

Operate

Weekly iteration across campaign, page and follow-up, by one team.

Evidence

Sourced figures only.

We do not publish results we cannot attribute to a named account with the measurement window and attribution model stated. Case studies are added as client permissions are confirmed.

Questions

Common questions.

How do we get better quality admission enquiries?

Put the qualifying information in the ad and on the page rather than filtering afterwards.

Stating fees, eligibility and location openly reduces enquiry volume and raises conversion, because the people who enquire have already self-selected. Cost per enquiry rises; cost per admission usually falls, which is the number that matters.

When should admissions campaigns start?

Before the intake window opens, not during it. Families begin researching well ahead of applying, and an institution that only appears when applications open is arriving after the shortlist was formed.

Do education institutions need a CRM?

Once more than one counsellor is handling enquiries, yes. The failure is not usually the first call — it is the third, which nobody makes because it lived in a notebook.

The intake window is short enough that a missed follow-up is a lost admission rather than a delayed one.

Which institutions do you work with?

[CONTENT TO VERIFY — confirm whether schools, colleges, coaching institutes and edtech are all in scope before publishing.]

Can you help with placements and outcome content?

Yes, and it is usually the most persuasive content an institution has. Real outcomes answer the question every parent is actually asking, and most institutions have this material but never present it.

Is WhatsApp appropriate for admissions enquiries?

It is often where the conversation actually happens, particularly with parents. The requirement is that it runs through a system rather than a counsellor's personal phone, so the institution keeps the record.

How many enquiries did last intake lose?

Most institutions cannot answer that, which is the finding. Tell us how enquiries are handled today and we will show you where the window closes.
